This Website Privacy Policy explains how Perago Information Systems, registered as Perago Information Systems PLC (“Perago”, “we”, “us”, or “our”), collects, uses, stores, shares, transfers, and protects personal information when you visit or interact with our website at https://www.peragosystems.com (the “Website”).

This Policy is intended for our informational Website, including contact forms, demo booking forms, newsletter or marketing sign-ups, recruitment pages, job applications, and related communications. It does not govern any separate software platform, client portal, procurement system, SaaS service, enterprise service, or enterprise agreement unless that service or agreement expressly refers to this Policy.

For Website-related personal information, Perago acts as a data controller because it determines why and how that information is processed. Service providers that process personal information on Perago’s behalf act as processors or service providers, depending on the applicable arrangement.

By using the Website or submitting information through the Website, you acknowledge that you have read and understood this Policy. If you do not agree with this Policy, please do not submit personal information through the Website.

This Policy applies to personal information collected through or in connection with the Website, including information collected when you:

  • submit a contact or demo request form;
  • request information about our products, services, or company;
  • sign up for newsletters, marketing updates, or events;
  • submit a CV, resume, job application, or recruitment-related information;
  • communicate with us by email, phone, form submission, or other channels connected to the Website; or

This Policy does not apply to websites, platforms, or services operated by third parties. If the Website contains links to third-party websites or services, their privacy practices are governed by their own policies.

Personal information

Meaning

A person or organization that determines the purposes and means of processing personal information. For Website-related personal information, Perago acts as the data controller.

Processor or service provider

Meaning
A third party that processes personal information on Perago’s behalf or provides services that support the Website, communications, analytics, advertising, recruitment, security, or related operations.

Cookies and similar technologies

Meaning
Cookies, pixels, tags, scripts, local storage, software development tools, analytics identifiers, advertising identifiers, heatmap tools, session replay tools, and similar technologies used to operate, measure, improve, secure, or market through the Website.

Sensitive personal information

Meaning
Personal information that is subject to enhanced protection under applicable law, including Ethiopia’s Personal Data Protection Proclamation No. 1321/2024, because of its nature. It includes personal information revealing racial or ethnic origin, political opinions, or religious beliefs, and information concerning a person’s health, genetic data, biometric data, or sexual orientation. Perago also treats national identification numbers (including Fayda), payment information, and passwords as requiring heightened protection.

Personal Information We Collect

The personal information we collect depends on how you use the Website and what you choose to submit to us.

3.1 Contact, Demo, and Inquiry Information

When you contact us, book a demo, request information, download content, or submit an inquiry through the Website, we may collect:

  • name;
  • email address;
  • phone number;
  • company or organization name;
  • job title;
  • country;
  • service interest;
  • message content; and
  • any other information you choose to include in your communication.

3.2 Newsletter and Marketing Information

If you sign up to receive newsletters, product updates, event invitations, white papers, promotional materials, or other marketing communications, we may collect your name, email address, organization, preferences, subscription status, consent records, and communication engagement information such as opens, clicks, and unsubscribe activity.

3.3 Recruitment and CV Information

If you apply for a job, submit a CV or resume, or contact us about career opportunities, we may collect recruitment-related information, including:

  • name, contact details, and location;
  • CV, resume, cover letter, portfolio, certificates, references, and supporting documents;
  • employment history, education, qualifications, skills, and professional experience;
  • role applied for and recruitment preferences;
  • interview notes, assessment results, and related recruitment communications; and
  • any other information you provide as part of the application process.

Please do not submit sensitive personal information unless it is relevant to your application, required by law, or specifically requested by us. Where you do provide sensitive personal information as part of your application, we rely on your explicit consent and process it only as necessary to assess and manage your application.

3.4 Automatically Collected Website Information

When you visit the Website, we and our service providers may automatically collect technical and usage information, including:

  • IP address and approximate location derived from IP address;
  • browser type and version;
  • device type, operating system, screen size, and language settings;
  • pages viewed, links clicked, time spent on pages, referral URLs, and navigation paths;
  • date and time of visits;
  • error logs and diagnostic information; and
  • cookie identifiers, advertising identifiers, and similar online identifiers.

3.5 Google Analytics and Microsoft Clarity

We use Google Analytics to understand how visitors use the Website, measure performance, and improve content and usability. Google Analytics may collect information such as page views, device and browser information, approximate location, referral source, and interaction data.

We use Microsoft Clarity to capture how you use and interact with our Website through behavioral metrics, heatmaps, session replay, clicks, scrolling, and page navigation. Website usage data may be captured using first-party and third-party cookies and similar technologies to understand usability and the popularity of content.

We use information from these tools to improve Website design, performance, security, usability, and user experience, and for fraud or abuse prevention. We do not currently use advertising, remarketing, or retargeting technologies on the Website. If that changes, this Policy and the cookie banner will be updated before any such technology is activated.

Session replay tools may capture interactions with forms and page elements. Perago configures Microsoft Clarity to mask form fields and avoid intentionally capturing passwords, payment information, national identification numbers, or other highly sensitive information typed into Website forms. Users should still avoid submitting sensitive information into Website forms unless it is necessary for the inquiry or application.

Our analytics and session replay tools (Google Analytics and Microsoft Clarity) are non-essential. They load only after you accept them through our cookie banner, and they do not run if you decline. These tools transfer your information outside Ethiopia, primarily to the United States, as described in Section 9. You can change or withdraw your choice at any time through the cookie preference settings on the Website.

How We Use Personal Information

We use personal information for the following purposes:

  • to operate, maintain, secure, and improve the Website;
  • to respond to inquiries, contact requests, and demo booking requests;
  • to communicate with you about Perago, our services, events, updates, insights, and opportunities;
  • to send newsletters, white papers, invitations, and marketing communications where permitted by law and subject to your opt-out choices;
  • to process job applications, assess candidates, manage recruitment, and communicate about employment opportunities;
  • to analyze Website traffic, performance, usability, and visitor behavior using tools such as Google Analytics and Microsoft Clarity;
  • to protect the Website, our systems, users, and business from fraud, misuse, security threats, spam, abuse, and unlawful activity;
  • to comply with applicable legal, regulatory, accounting, recordkeeping, and reporting obligations;
  • to establish, exercise, or defend legal claims; and
  • for other purposes that are compatible with the reason the information was collected or that are disclosed to you at the time of collection.

We do not seek sensitive personal information (as defined in Section 2) through the Website unless it is necessary for a specific purpose, such as a job application, and we ask that you do not submit it otherwise. Where we do process sensitive personal information, we rely on your explicit consent, or on another basis permitted under applicable law, such as compliance with an employment, legal, or regulatory obligation, or to establish, exercise, or defend legal claims. You may withdraw consent to the processing of sensitive personal information at any time by contacting info@peragosystems.com. Withdrawal does not affect processing that took place before withdrawal.

We do not use Website personal information to make decisions based solely on automated processing that produce legal or similarly significant effects for individuals. We may use limited analytics, segmentation, advertising audiences, or basic filtering to understand Website usage, manage communications, improve marketing, or review recruitment information, but human review is involved where decisions may materially affect a person.

Privacy by Design and Default

Perago aims to apply privacy by design and privacy by default principles when developing, configuring, or changing Website features that process personal information. This includes limiting collection to information that is reasonably necessary, applying access controls, using appropriate security measures, reviewing service providers, and configuring non-essential cookies, analytics, advertising, heatmap, and session replay tools so that user choices are respected where required by law.

Perago also aims to consider privacy risks when introducing new Website features, forms, analytics tools, advertising tools, recruitment workflows, or service providers that may process personal information.

How We Share Personal Information

We do not sell personal information. We may share personal information in the following limited circumstances:

  • Service providers and processors: with vendors and providers that help us operate the Website, host data, provide analytics, manage communications, process forms, support recruitment, maintain security, prevent spam or abuse, or provide related services. These may include website hosting and cloud infrastructure providers, email and newsletter service providers, CRM or contact management tools, form submission tools, security and monitoring tools, recruitment or applicant-management tools, and related technology providers where used.
  • Analytics, session insight, and advertising providers: with Google Analytics, Microsoft Clarity, and similar providers for Website analytics, performance measurement, behavioral metrics, heatmaps, session replay, advertising, campaign measurement, remarketing or retargeting where enabled, and Website improvement purposes.
  • Professional advisers: with lawyers, auditors, accountants, consultants, insurers, and similar advisers where necessary for business, compliance, or legal purposes.
  • Legal and regulatory authorities: where required by law, court order, lawful request, or legal process, or where disclosure is necessary to protect rights, safety, security, or property.
  • Business transfers: in connection with a merger, acquisition, reorganization, financing, sale of assets, or similar business transaction, subject to appropriate safeguards.
  • With your direction or consent: where you ask us to share information or otherwise consent to the sharing.

Perago aims to maintain appropriate contractual, technical, and organizational safeguards with processors that handle personal information on its behalf, including data processing terms where required. These safeguards may address processing instructions, confidentiality, security, sub-processors, assistance with privacy requests, incident response, deletion or return of information, and audit or review rights where appropriate.

Perago also reviews whether processors involve international transfers that need to be disclosed and safeguarded under Section 9.

International Hosting and Processing

Perago is based in Ethiopia, but personal information collected through the Website may be hosted, stored, accessed, or processed in Ethiopia and in other countries where our service providers, analytics providers, advertising providers, cloud providers, or business partners operate. These may include countries where major technology providers maintain infrastructure or support teams, including the United States, member states of the European Economic Area, the United Kingdom, and other countries used by the relevant service provider.

Data protection laws in those countries may differ from Ethiopia’s. For transfers of non-essential analytics, advertising, and session replay data (including through Google Analytics and Microsoft Clarity) to countries such as the United States, Perago relies on your explicit consent, obtained through the cookie banner after informing you that the transfer takes place. For other transfers, Perago relies on a lawful transfer basis permitted under the Proclamation and applies safeguards such as data processing agreements, contractual confidentiality and security obligations, access controls, and secure transmission measures. Perago does not transfer personal information to a country lacking adequate protection except on a basis permitted by the Proclamation.

Perago may update this section as its processor, advertising, analytics, and transfer mapping is updated. If a particular Website tool requires more specific transfer information, Perago may provide that information in a cookie notice, privacy notice, vendor list, or other Website disclosure.

Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, unless a longer retention period is required or permitted for legal, security, recordkeeping, archival, compliance, dispute-resolution, or legitimate operational purposes. Indicative retention periods are listed below and may be adjusted where law, business need, or a specific request requires a different period.

Contact, demo, and inquiry records

Indicative Retention Period
Up to 3 years after the last meaningful interaction, unless a longer period is needed for an active business relationship, legal compliance, or dispute resolution.

Marketing subscription and consent records

Indicative Retention Period
For as long as the subscription remains active, and up to 3 years after unsubscribing or withdrawal to maintain suppression lists, consent evidence, and communication records.

Recruitment records for unsuccessful applicants

Indicative Retention Period
Up to 12 months after the recruitment process ends, unless the applicant consents to a longer talent-pool retention period or a longer period is required for legal or dispute-resolution reasons.

Recruitment records for future opportunities

Indicative Retention Period
Up to 24 months where the applicant has been notified or has consented to future-role consideration, unless withdrawn earlier.

Website analytics and session replay data

Indicative Retention Period
Up to 14 months, or the shorter period configured in the applicable analytics or session insight tool, unless aggregated, anonymized, or needed for security or diagnostics.

Technical logs and security records

Indicative Retention Period
Typically 6 to 24 months, depending on security, diagnostic, and operational needs.

Legal, compliance, finance, and dispute records

Indicative Retention Period
For the period required by applicable law or as long as reasonably needed to establish, exercise, or defend legal claims.

When information is no longer needed, we may delete, anonymize, aggregate, or archive it in accordance with our business and legal requirements.

Security

We use reasonable technical and organizational measures designed to protect personal information against unauthorized access, loss, misuse, alteration, disclosure, or destruction. These measures may include access controls, secure communication protocols, monitoring, internal procedures, and service-provider safeguards appropriate to the nature of the information and the Website.

Perago limits access to personal information to personnel and service providers who need it for legitimate business, legal, recruitment, security, or operational purposes. Personnel who handle personal information are expected to follow applicable confidentiality, security, and data protection requirements.

Perago maintains procedures to review and respond to suspected personal data incidents and, where required by applicable law, to notify affected individuals or the relevant authority.

Perago will not ask you to provide passwords, payment details, national identification numbers, or other highly sensitive information through unsolicited communications. You should be cautious of suspicious emails, messages, links, or requests that claim to come from Perago.

No website, internet transmission, or electronic storage method is completely secure. For that reason, we cannot guarantee absolute security. You should avoid submitting highly sensitive information through Website forms unless it is necessary for your inquiry or application.

Subject to applicable law, including Ethiopia’s Personal Data Protection Proclamation No. 1321/2024, you may have rights in relation to your personal information, including the right to:

  • request deletion of personal information, subject to legal, security, recordkeeping, and legitimate business retention needs;
  • object to or request restriction of certain processing activities;
  • withdraw consent where processing is based on consent;
  • request data portability or receive certain personal information in a transferable format where applicable;
  • not be subject to a decision based solely on automated processing that produces legal or similarly significant effects, where applicable;
  • unsubscribe from marketing communications at any time;
  • raise a concern or complaint about how we handle personal information; and
  • lodge a complaint with the Ethiopian Communications Authority, or the relevant successor supervisory authority under the Proclamation, if you believe your data protection rights have been violated.

We may ask you to verify your identity before responding. We aim to respond within 30 days or within the timeframe required by applicable law.

We generally do not charge a fee for privacy requests, but we may refuse, limit, or charge a reasonable fee for requests where permitted by law, including where a request is manifestly unfounded, excessive, repetitive, or conflicts with legal, security, recordkeeping, business, or third-party rights.

Some requests may be limited or refused where we are legally required or permitted to retain information, where the request affects the rights of others, or where retention is necessary for business, legal, security, recordkeeping, or legitimate operational purposes.

Perago aims to keep personal information accurate, complete, and up to date for the purposes for which it is used. You can help us by providing accurate information and by contacting info@peragosystems.com if information you submitted changes or needs correction.

You can withdraw analytics, advertising, heatmap, or session replay consent at any time through the cookie preference settings on the Website.

Recruitment Privacy

If you submit a CV, resume, job application, or employment-related information through the Website, we use that information to assess your application, communicate with you, conduct recruitment activities, keep recruitment records, and comply with legal or business obligations.

Recruitment information may be reviewed by Perago personnel involved in hiring and by service providers that support recruitment, email, form submission, document storage, scheduling, background checks where applicable, or applicant management. Where third-party recruitment or applicant-tracking tools are used, Perago treats those providers as processors or service providers and aims to maintain appropriate contractual and security safeguards with them.

If your application is unsuccessful, Perago may retain recruitment records for up to 12 months after the recruitment process ends, unless a longer period is required for legal or dispute-resolution reasons. With your consent, or where you have been clearly notified and applicable law permits, Perago may retain your application information for up to 24 months to consider you for future roles. You may ask us not to retain your information for future opportunities by contacting info@peragosystems.com.

Please ensure that the information you submit is accurate and that you have permission to provide any third-party information, such as reference contact details. Do not submit sensitive personal information unless it is relevant to the role, required by law, or specifically requested by Perago. Where such information is provided, we process it on the basis described in the Sensitive Personal Information section above.

Marketing Communications

If you subscribe to newsletters or marketing communications, download content, register for events, or otherwise ask to receive updates, we use your contact details to send information about Perago, our services, events, insights, or other information that may be relevant to you. For subscriptions, event sign-ups, website forms, and other situations where you actively request marketing, Perago relies on consent. For limited business-to-business communications to existing contacts, Perago may rely on legitimate business interest where permitted by law, provided the communication is relevant to the business relationship and includes a clear opt-out.

We may measure the performance of our marketing emails, including opens, clicks, and unsubscribe activity, to understand engagement and improve our communications. We do not use advertising pixels, remarketing, or retargeting technologies on the Website. If that changes, this Policy and the Website cookie banner will be updated before any such technology is activated.
